This notice explains what personal information the Newport & District Air Rifle League (“the league”, “we”) holds, through this website and in running the league, why we hold it, how long we keep it, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).
The league is a not-for-profit organisation run by a committee of volunteers, who are responsible for (the “controller” of) the personal information described here. League fees go into the league fund, for insurance and league equipment.
To ask anything about your information, or to use any of the rights below, use our contact form and mention “data protection” in your message.
| Information | Why we use it | Lawful basis |
|---|---|---|
| League records: shooter names, team, shooter number, team role (captain, secretary, treasurer), scores, averages, handicaps, personal and season bests, match and competition results, trophy winners, and moves between teams | To run the league and its competitions, publish results, and keep the league’s historical record | Legitimate interests |
| Competition categories: “Ladies” and “Juniors” entries in the Fred Leak competition | To run those categories and award their prizes | Legitimate interests |
| Score corrections: what was changed and when, recorded against a team name or “Admin” | To keep results accurate and fair | Legitimate interests |
| Website accounts: email address, role and team | To let the committee and team accounts sign in to enter and manage results | Legitimate interests |
| Committee details: names, roles and photos | So members know who runs the league | Consent |
| Photos from matches, events and the league’s history, which may show people | To record and celebrate the league | Legitimate interests |
| Practice sessions: names typed in for a practice match | To score the practice match | Legitimate interests |
| Enquiries: your name, email address, phone number (optional) and message | To reply to you. If you ask about an item on the For Sale page, we pass your enquiry to its seller (see Who we share it with) | Legitimate interests |
| Sign-in security check: your IP address and information about your browser and device, checked by Cloudflare Turnstile when a sign-in form is shown | To stop automated attempts to guess passwords | Legitimate interests |
| Website server logs: IP address, pages requested, browser type | To keep the website running and secure | Legitimate interests |
| Backups: copies of the league database, including account email addresses | To restore the league’s records if they are lost or damaged | Legitimate interests |
Where we rely on legitimate interests, we have weighed our need against your privacy. Publishing shooters’ names alongside their scores and results is a long-standing and expected part of competitive shooting, and it is how the league has kept its records since 1907. You can object at any time (see Your rights).
Where we rely on consent, you can withdraw it at any time and we will remove the information from the website.
We don’t sell personal information, and we don’t use it for marketing.
League records, the committee page, photos and the score-correction log can be seen by anyone visiting the website. Moves between teams are only visible to league administrators. Practice sessions can be seen by anyone with the session’s link.
Account email addresses, enquiries, backups and server logs are never published.
Junior shooters’ names and results are published in the same way as everyone else’s. If you are a parent or guardian and would rather your child’s name was not shown, please contact us and we will replace it with an anonymous name. We take particular care with photos of under-18s and will remove any photo on request.
We use these services to run the website. They handle information only on our behalf:
Some of these providers are based in, or store information in, the United States or other countries outside the UK. Where that happens, we rely on the safeguards in each provider’s terms, such as the UK–US data bridge or the UK’s approved international data transfer contracts.
Private sellers. The league doesn’t sell items itself: everything on the For Sale page, including league approved merchandise, is sold by private sellers. If you enquire about one, we pass your name, contact details and message to that seller so they can reply to you directly. The seller is then responsible for how they use your details.
Our Facebook and Instagram pages are run under those platforms’ own privacy policies.
| Information | How long |
|---|---|
| League records and competition categories | Permanently, as the league’s historical record. We don’t delete these records, because removing someone’s scores would change past results for everyone else. Instead, we can anonymise them on request (see Your rights) |
| Score corrections | For as long as the results they relate to |
| Website accounts | While the account is in use. When it is no longer needed, its access is removed |
| Committee details and photos | Until you ask us to remove them |
| Photos from matches, events and history | Kept as part of the league’s history, unless you ask us to remove them |
| Practice sessions | Deleted automatically after 30 days |
| Enquiries | 12 months after our last reply |
| Backups | 14 days on our server; 12 months for emailed copies |
| Website server logs | About 14 days |
| Sign-in security check | Not kept by the league. Cloudflare holds it briefly under its own terms |
| Browser storage | Until you clear it in your browser |
You have the right to:
To use any of these rights, use our contact form. It’s free, and we will reply within one month. We may need to confirm who you are before acting on a request.
This website does not use advertising or tracking cookies, or any analytics service. It saves a few small items in your own browser so the site works properly:
None of this is sent to anyone else or used to identify you.
When a sign-in form is shown, Cloudflare’s security check may also store a small amount of information in your browser. It is used only to tell people apart from automated programs, not for tracking or advertising.
Handicaps, averages and personal bests are calculated automatically from scores, using the formulas in the league rules. We don’t make any decisions about you based solely on automated processing that have legal or similarly significant effects.
If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
We will update this page when how we use information changes, and change the date at the top.
